Assignment & locations

Every item has a home location (“where it belongs”) and optionally a current location or person (“where it is right now”). The Resources page manages both: the location tree and your organization’s people.

  • Locations are a tree: building → floor → room, as deep as needed. Locations are shown with their full path everywhere (“Workshop hall / Ground floor / Tool issue”), so “Store” is never ambiguous.
  • People are humans that items can be assigned to — with or without their own login. Clicking a resource shows which items are there, or who has what.
  • Move by drag & drop (desktop, role Manager and up): simply drag a row onto its new parent — the whole subtree moves along. While dragging, a drop zone “Move to top level” appears at the top. On touch devices and by keyboard, “Move to…” in the ⋯ menu gets the same result.
  • Merging duplicates (role Manager and up): was “Room 101” created twice — say, by an import — pick “Merge with…” in the ⋯ menu and choose the entry that remains. A preview shows exactly what will happen beforehand: items, stock, sub-entries, open orders and printed labels move to the remaining entry. The duplicate is archived — its history stays fully intact. The same works for duplicate people.

“Assign” on the detail page opens the dialog — the current state at the top, the four options below:

  • Assign to me — one click, the item is with you.
  • Give to someone — pick a person, optionally the room along with them.
  • Move to a location — only the location changes.
  • Return — takes the person out and brings the item back to its home location. The dialog shows what will happen beforehand.

Recently used people and rooms appear as suggestions — for back-to-back handouts (season start, a move, a new team) those are the two clicks that count. Every change lands in the item’s history and can be undone straight from the confirmation.

For quantity items (printer paper, markers …), the dialog first asks for the target — move to a location or give to someone — and then for the amount: “3 of 35 available in Materialraum”. The detail page then shows where the stock sits, including “People: Anna holds 3”. From there stock also goes back (“Return to location”) or gets recorded as used (“Mark used”); reserved amounts stay protected throughout.

The same dialog also opens straight from item lists — in the table as on a room’s or person’s detail page, every row carries an assign icon. That’s how you empty a supply crate in two clicks per item.

  1. From the target: on a room’s or person’s detail page, “Add items” — search, scan or browse on the left, the selection collects on the right like at a self-checkout. One click assigns everything at once, with a shared undo.

  2. From the table: filter the items table and set location or person for all matches via mass edit.

  3. By scanner: in the mobile app, pick the target once, then scan item after item — the scans collect as a selection, and one tap assigns everything at once, with a shared undo.
